  • Overview

    The Unaccompanied Children Program provides long term and transitional residential care and other supportive services to Unaccompanied Children (UC) who are under legal custody of the Federal Government. Working in collaboration with the federal Office of Refugee Resettlement, ORR, our program provides a safe and nurturing environment for youth in a Basic Shelter program, and the Therapeutic Group Home programs located at our licensed residential facility in Yonkers, NY as well as a Transitional Foster Care program and the Long Term Foster Care Program located in foster homes in the Bronx, Queens and Westchester. In all programs, we provide therapeutic and educational services and other supports that youth need to achieve success through an array of strength-based and targeted interventions as well as link them with family members and/or other sponsors in the United States so they are able to move forward with their lives and thrive. The Administrative Assistant will provide administrative and clerical support to the program and will report to the Senior Administrative Assistant of the program.

    Responsibilities

    • Takes staff meeting minutes
    • Order uniforms for new and/or current staff
    • Order clothing for all POH children as needed
    • Outreach in the community for Foster Parents
    • Maintain cottage list and program stats as required
    • Enter, review and resolve online critical incident tickets
    • Manage data for Performance Effectiveness Indicators
    • Coordinate different program functions and events for children and staff
    • Coordination and reporting of daily census for the program sent to Administrative Staff, ORR, ICE and Catholic Charities of NY
    • Manage petty cash and funds reconciliation for the program and submit to Senior Administrative Assistant for review and approval
    • Correspond with ORR/OCFS program staff, investigators and Fire Safety Inspector to coordinate all inspections, site visits and investigations
    • Responsible for the maintenance of the case records (including creating new records, filing and closing out closed cases)
    • Enter all data in the POH share file pertaining to: Credit Card Statement, Food Distribution, Petty Cash and any expenditures
    • When completing the order for extra uniforms for existent staff, ensure that payment is made beforehand
    • Submit all Staff Uniform related money to the Finance Department
    • Complete all Purchase Orders for the Program and submit them to the Program Director for approval
    • Once approved by the PD, the PO must be submitted to the Purchasing Department
    • Distribute the approved contact information within a day for all the children in the program to all administrative staff
    • Follow up with each Case Manager to ensure that the information for each new kid is sent within 24 hours of admission to the program
    • Update, as needed, the Case Manager and Clinicians caseload and distribute to all POH staff
    • As a recruiter the Administrative Assistant is in charge of completing the Initial Foster Home Inquiry form and follow up with any potential candidates, by setting up interviews
    • Other administrative duties as assigned

    Qualifications

    • Must be proficient in Microsoft Office Suite
    • Bi-Lingual (Spanish/English) and cultural competence a must
    • An Associates Degree is required. Bachelors degree is preferred
    • The applicant must have at least two years of experience as an administrative assistant
