Overview

The Supervisor of the Castle Hill Day Habilitation program is responsible for the supervision of people supported in the Adult Group Day Habilitation Program and children/adults in the Supplemental Group Day Habilitation without walls program. She/he ensures that the people attending the program receive the supports they need, oversees the maintenance of programs, writes the day habilitation goals, develops, and ensures the implementation of habilitation plans and coordinates his/her attendance in conjunction with the 3 Assistant Supervisors at the scheduled ISP meetings bi-annually for each person. She/he supports and assists each person in attaining their needs, desires, and dreams through a person-centered planning focus. She/he assures quality services by providing an environment that is conducive to the welfare of the person and in accordance with federal, state, local, and organization regulations and policies. She/he provides direct support and supervision to the Assistant Supervisors of the Adult Day Habilitation and Supplemental Group Day habilitation program as well as secondary supervision to the Direct Support Professionals. She/he leads the programs and serves as an advocate to ensure appropriate treatment, teaching, and protection of the individuals’ rights. She/he develops and cultivates positive relationships with families and other stakeholders. She/he monitors the services provided to the individuals in each of the programs.

She/he is able to lead the team and responsible for allocating fixed duties to each member of the team. She/he ensures each program is handled efficiently, all work is completed on time and quality services are provided at all times.

$64,575 with Bachelors Degree

$68,933 with Masters Degree

Responsibilities

Competencies

 

She/he writes or reviews all the habilitation plans to ensure that they are person-centered and promotes progress toward meeting outcomes. She/he ensures supports needed are in place to meet outcomes. She/he supports the Assistant Supervisors and Direct Support Professionals in order to promote positive interactions and meaningful activities for the persons served.

 

She/he is responsible for working collaboratively with the Quality Improvement team to ensure the best outcomes for the program and individuals, ensures compliance with relevant regulations, and ensures that programs and services to individuals supported are person-centered and directed.

 

She/he manages and implements program budgets, provides input for budget development, and follows policies/procedures for procurement. Ensures financial records are complete, thorough, and submitted in a timely manner.

 

She/he plays an essential role in coaching and mentoring in the success of an organization. She/he is responsible for implementing the coaching and mentoring processes and procedures set by the organization as part of their employee development. She/he puts emphasis on building positive professional relationships. She/he must educate with the right skills and impart the knowledge needed to perform the job efficiently.

She/he will examine the needs of the program and ensure that they all are met. She/he will ensure the physical plant of the programs is free of risk. She/he will ensure to fiscally meet all program and individual needs. She/he will collect and share data with appropriate parties and interpret the data to effectively assist the person supported meet their goals.

She/he is responsible for monitoring and reviewing all documentation in accordance with federal, state, local, and organization regulations and policies, and ensuring all documentation is done in a timely manner.

 

Supervisory Responsibility

 

She/he participates in the interviewing, hiring, coaching, and giving on-going feedback to staff. She/he is the direct supervisor for the Assistant Supervisors and the secondary supervisor for the Direct Support Professionals. She/he is responsible for assigning and directing work, addressing complaints, and resolving problems in the program in conjunction with the Assistant Supervisors. She/he is also responsible for monitoring and approving the timecards of the Assistant Supervisors and Direct Support Professionals

 

Staffing

  • Provide direct supervision to Assistant Supervisors and secondary supervision all Direct Support Professionals (DSP)
  • Provide support, guidance, and ongoing training to all DSP’s to ensure progress of persons supported
  • Ensures that the program is adequately and appropriately staffed and monitored.
  • Ensures the appropriate training of staff who are assigned to the programs.
  • Help plan, coordinate, and when necessary, co-facilitate regular staff meetings in conjunction with the Assistant Supervisors
  • Observes, monitors, and regularly provides feedback to staff regarding the implementation of the individuals’ plans through the use of staff observations, and daily performance of goals.
  • Demonstrates and model’s effective methods to teach existing positive and replacement behaviors to individuals.
  • Supports staff in developing their technical skills through electronic documentation and communications.
  • Review and approve timecards for all assigned staff.

 

Program

  • Ensure a safe work and training environment for staff and persons supported.
  • Schedules and monitors transportation of persons-supported to/from program and community inclusion
  • Monitor the Quality Improvement for all services being provided.
  • Tracks program and individual progress to ensure further program development.
  • Works closely with families and individuals to ensure the program meets their needs and expectations.
  • Track monthly utilization of service.
  • Ensure that overall program meets the projected numbers.
  • Ensure that all clinical files contain all required documents, that documents are current, and that the documents are done in accordance with regulations

 

Medical Care Oversight

  • Obtain annual physicals with pertinent medical information for each person.
  • Ensure staff are aware of the person supported medical conditions and are trained on the necessary precautions.
  • Ensure that all records of persons supported are maintained and updated.
  • Work closely with Psychologist on all behavioral plans and data for persons supported.
  • Ensure that all reports of injuries and accidents are reported as required by organization policy and OPWDD regulations.

 

Reporting/Documentation

  • Monitor staff’s required charting and documentation records.
  • Writes and/or reviews all Habilitation Plans, tracks outcomes to ensure progress towards goals.
  • Complete reports on the progress of persons supported towards meeting goals and outcome as needed.
  • Ensure that all billing information for program is completed and submitted to accounting in a timely manner.
  • Respond to all correspondence promptly and professionally, meeting required timeframes.
  • Ensure the proper documentation and reporting of all incidents and events to all of the proper Organization and Monitoring authorities.
  • Ensure that guidelines for all 624, 625, and 633 regulations are followed as required by OPWDD standards.
  • Ensure the review of all incidents and events on a monthly and quarterly basis with DSP’s
  • Compile other reports and data for management review.
  • Ensure that appropriate training and documentation of training for individuals and staff is up to date and meets program guidelines.
  • Conducts one unannounced visit per month to DD IRAs or Day Programs; completing the unannounced visit checklist during each visit and reporting results to Director DD and Director QI within one week of visit; and following up on action items at next unannounced visit.

Communication

  • Communicate effectively with individuals, using their primary method of communication (gestures, verbal, sign-language, communication board)
  • Establish positive relations with parents, guardians, and advocates of the individuals in the residence.
  • Provide counseling and support to staff when conflicts arise; facilitates teamwork and positive interactions.
  • Gather staff opinions and input regarding work issues and empower staff to make decisions through monthly mission effectiveness meetings.
  • Provide ongoing feedback to Assistant Director of Community Services on the progress of assigned individuals and the staff that service them.
  • Able to provide person supported and staff constructive feedback regarding performance and behavior.
  • Must be a good listener, speak with respect and treat all respectfully.
  • She/he must be able to build interdepartmental relationships through verbal and written communication and create/foster an encouraging and efficient environment.
  • Work closely with families and people supported to ensure the program meets their needs and expectations.
  • Provides ongoing feedback for Assistant Director, Director, and other administrative/executive staff.

Other:

  • On call for emergencies and reports as indicated by program guidelines.
  • Provides a safe work environment for staff and individuals.
  • Other related duties as assigned by supervisor.
  • Attends in-service trainings and participates in continuing education to develop management skills; implements and demonstrates skills learned to build staff skillsets.

Work Environment: Able to work under pressure and meet deadlines. Able to encourage staff and families to have a positive attitude toward Developmentally Disabled individual’s capabilities and limitations.

 

Physical Demands: Able to travel as needed to meet with families, individuals, and staff at least three days per week. Able to assist Individual’s physically when needed. Able to assist in the setup of a program as needed.

 

Position Type/Expected Hours of Work: EXEMPT

  • Employee is expected to work until all major projects and related tasks are completed to the satisfaction of their Program Director or Supervisor. Some early morning, evening, and weekend work is expected. Employees are paid a set weekly salary exceeding the federally required minimum and are not eligible to earn overtime compensation.

Travel:

  • Able to travel to and from work site to main administrative building as requested by supervisor for meetings.
  • Able to travel in the surrounding community to assist as needed with the people supported while out during their daily activities and during pick up and drop off during the day.
  • Able to travel to attend trainings at different locations via car or public transportation.

Qualifications

Required Education and/or Experience: Bachelor’s Degree. At least two years direct care experience working with the Developmentally Disabled population, and at least one year of supervisory experience.

 

Preferred Education and Experience: Master’s Degree, at least 3 years working with people with Intellectual/Developmental Disabilities and at least 2 years supervisory experience.

 

Additional Eligibility Qualifications

 

Language Skills: Excellent communication skills, written as well as verbal. Bi-lingual a plus, ability to learn basic sign language where needed. Ability to speak effectively before groups. Ability to interpret and guide families as an advocate.

 

Reasoning Skills: Ability to interpret, understand and assist in training staff in the principles, guidelines and regulations that govern programs for the Developmentally Disabled.

 

Computer Skills: Working knowledge of Microsoft Word, Excel, Power Point and other programs as needed to provide reports.

 

Certificates, Licenses, Registrations: Must be cleared through a criminal background check and fingerprinting, valid NYS Driver’s License required.

 

Other Skills and Abilities: Flexibility and Ability to work with Individuals with Disabilities, families, Community Leaders, Line staff, Administrators and Executive staff in the development of programming and services.

 

Other Qualifications: Good leadership skills, positive outlook toward the accomplishments of goals and objectives of the program, ability to project a positive image for the organization.
