Overview

The Travel Coordinator will be responsible for the overall coordination and request of the travel arrangements needed to reunify a person supported with his/her sponsor. The Travel Coordinator will also coordinate any other travel arrangements needed for the person supported during their placement at Rising Ground.  The Travel Coordinator will supervise travel staff in the program.

Responsibilities

Program Delivery

  • Ensure that Travel Services are run in accordance with policies and procedures outlined by ORR and Rising Ground.
  • Ensure that all travel team demonstrate the use of TCI and other interventions.
  • Complete regular checks on the program vehicles for safety, health hazards and cleanliness.
  • Review Geo-Tab report for safety driving, and complete immediate follow-up to address safety driving concerns, in conjunction with the residential manager, if the staff is not a Travel team member.
  • Ensure that deficiencies in the operations of the travel services, protocols or regulations are addressed immediately, with a corrective plan that involves action, timeframe for completions and staff accountability.
  • Join PEM and ORR in all Vehicle Inspections
  • Ensure prompt communication with the program leadership regarding any issues or concerns identified with the team or the program operations, as well as success and best practices.

Staff/Administration

  • Directly supervises a team of eleven (11) Travel team members in the Unaccompanied Children (UC) program providing support and engaging them in a process that requires team process to solve problems; helps the team stay focus in meeting their goals while meeting multiple tasks. 
  • In conjunction with Human Resources, and the Assistant Director of Travel Services or Director of Travel and Medical Services, select, interview and hire staff assigned to the residential aspect of the program, or any other staff as needed.  
  • Provide specific program-related orientation for new employees.
  • With Assistant Director of Travel Services, monitor progress of staff through performance evaluations. Assist staff in developing improvement plans and ensure training compliance. 
  • Monitor staff overtime
  • Communicate consistently with residential managers related to daily program operations

Professional Practice

  • Ensures that all travel needs are planned, organized, and executed in a timely manner.
  • Provides monthly group and individual supervision of the travel team.
  • Submits travel requests with MVM to secure discharge travel arrangements for the person supported. This includes reviewing the reunification sheet, transportation dashboard, and transportation summary to submit transportation requests into the Box.
  • Contact the MVM Command Center to verify if travel arrangements were made for the person supported.
  • For age redetermination or age-out cases, obtain a suitable ticket for person-supported and staff escort that is cost-effective for the agency, via internet searches on various airline sites.
  • Connects with the Case Manager and Lead Case Manager to ensure all outstanding FFS recommendations have been fulfilled, portal exits are completed, and request weekend submissions.
  • Coordinates with the Travel Team member transporting the person supported to their sponsors, when applicable.
  • Maintain open communication with Travel, Residential, Medical, and Case Management team directors.
  • Create daily assignments for the travel team including vehicle inspections, medication pick up, pick up and drop off discharge packets and personal belongings, appointments, coverage (when needed) in the residential program, and additional driver duties scheduled for the day.
  • Email the medical team of the person’s supported approval from FFS to verify medical clearance to proceed with travel arrangements.
  • Print, prepare, and file the Predischarge Checklist and the Itemized Discharge Checkoff List.
  • Confirm the primary sponsor verification, medical clearance, collection of discharge packets, if PRS is in place and active (when applicable) for the person supported.
  • Review, prepare, and submit monthly AMEX statements to the finance department for Passage of Hope (POH), i.e. purchases of age out and age redetermination flights, food purchases, and luggage.
  • Communicate with the sponsors to coordinate local travel arrangements within a two-hour radius of the person’s supported residence.
  • Participates and attends all required program-related meetings and conferences.
  • Works effectively with other professionals in the field.
  • Awareness of issues affecting the person supported, i.e. AWOL risks, 1 to 1 supervision.
  • On-call evenings and weekends to support the day travel coordinator and other travel members as needed.
  • Ensure consistent compliance with Rising Ground, ORR, and OCFS policies and protocols
  • Performs other duties as assigned.

 

Qualifications

  • College degree preferable
  • Two years experience working with youth in a residential setting.
  • Knowledge of child welfare and immigration-related legislation.
  • Excellent verbal, and written communication and organizational skills are essential.
  • Proficiency in the Microsoft Office is a must.
  • Bilingual (English/Spanish) a must.
