Responsibilities

Job Summary: The Administrative Assistant will provide clerical and administrative support to the Training, Performance Evaluation and Monitoring (PEM), and Diversity, Fairness, and Belonging (DFB) Departments.

 

Job Responsibilities:

 

General Responsibilities

  • Coordinating schedules and calendars of events
  • Sending and updating calendar invites for trainings and events and following up with attendees and their managers
  • Managing and ordering inventory
  • Processing and tracking invoices
  • Creating and maintaining various reports for analysis and distribution.
  • Assistance in providing structure and organization to special projects and programming
  • Submission, collection, and distribution of mail
  • Assisting with data entry projects into various databases

PEM Specific Responsibilities

  • Responsible for the retrieval of monthly Critical Event forms, Restraint information and preparation of Quarterly Reports from the various programs
  • Data and information retrieval from existing data systems, including the daily review of the IRMA system. In addition, serve as a backup to PEM functions related to the use of external and internal data entry and collection systems
  • Responsible for updating and uploading related PEM manuals, policies, and protocols as they pertain to the agency, department or programs
  • Recording and documentation of PEM related committees and staff meetings
  • Assist in data collection, as needed on all programs
  • Typing, scanning and tabulation of all agencies related surveys
  • Assist in the filing and organization of investigative related documents
  • Typing of reports, including confidential documents regarding Corrective Action and Monitoring Improvement Plans

Perform other duties and special projects assigned.

Qualifications

Qualifications:

 

  • At least one-year Administrative Experience Preferred
  • Proficiency in MS Office/Office 365
  • Excellent writing and oral communication skills, good organizational skills.
  • Ability to maintain strict confidentiality
  • May require some local travel

No

 

Work Environment: Hybrid work schedule with 2 remote workdays per week.

 

Position Type/Expected Hours of Work: This is a full-time position. Days and hours of work are Monday through Friday, 9 am to 5 pm. Occasional evening and weekend work may be required as job duties demand.

 

Travel (if required): Must be able to travel to various hubs and programs if needed.

 

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds.
