Overview

The Assistant Residence Manager is responsible for supporting the Residence Manager in the supervision of individuals’ supports, maintenance of assigned programs, and implementation of Life plans. She/he supports and assists people supported in attaining their needs, desires, and dreams through a person-centered planning focus. She/he assures quality services by providing an environment that is conducive to the welfare of the people supported and in accordance with federal, state, local, and organization regulations and policies.

She/he provides support to the Residence Manager in leadership of the team and serves as an advocate to ensure appropriate treatment, teaching, and protection of the person supported rights. She/he develops and cultivates positive relationships with families and other stakeholders. She/he monitors the coordination of individual appointments and activities, and the management of the people support personal fund accounts.

The Assistant Residence Manager is responsible for the supporting the Residence Manager by working collaboratively with the Quality Improvement team to ensure the best outcomes for the program and individuals, ensures compliance with relevant regulations, and ensures that programs and services to individuals supported are person-centered and directed.

The Assistant Residence Manager is an effective communicator. She/he is able to provide person supported and staff constructive feedback regarding performance and behavior. Must be a good listener, speak with respect and treat all respectfully. The Assistant Residence Manager is responsible for updating the Residence Manager on a daily basis of all events in the residence.

Responsibilities

STAFFING

In partnership with the Residence Manager:

· Ensure that the program is adequately and appropriately staffed and monitored.

· Ensures the appropriate training of staff who are assigned to the Residence.

· Provides weekly supervision meeting for residential staff.

· Observes, monitors, and regularly provides feedback to staff regarding the implementation of the individuals’ plans through the use of meal observations, community meetings, and daily performance of goals.

· Demonstrates and models’ effective methods to teach existing positive and replacement behaviors to individuals.

· Supports staff in developing their technical skills through electronic documentation and communications.

PROGRAM

In partnership with the Residence Manager:

· Ensures that the program meets the guidelines and regulations which govern residential operations.

· Tracks program and individual progress to ensure further program development.

· Works closely with families and individuals to ensure the program meets their needs and expectations.

MEDICAL CARE OVERSIGHT (IF APPLICABLE)

· Maintain and update medication records of individuals residing in the IRA.

· Monitor to ensure all medical appointments and follow-up visits are done as needed.

· Work closely with Nurse/Medical Director on all medical care for residents.

· Work closely with Psychologist on all behavioral plans and data for residents.

· Establish professional relationships with local pharmacies, urgent care centers, etc.

· Ensure that all reports of injuries and accidents are reported as required by organization policy and OPWDD regulations.

· Review Medical Administration Records a minimum of three times per week.

REPORTING / DOCUMENTATION

In partnership with the Residence Manager:

· Monitors staff’s required charting and documentation records and completes reports on person supported progress towards meeting goals and outcome as needed.

· Responds to all correspondence promptly and professionally, meeting required timeframes.

· Conducts one unannounced visit per month to I/DD IRAs or Day Programs; completing the unannounced visit checklist during each visit and reporting results to Director I/DD and Director QI within one week of visit; and following up on action items at next unannounced visit.

· Ensures the proper documentation and reporting of all incidents and events to all of the proper Organization and Monitoring authorities.

· Ensures the review of all incidents and events on a monthly and quarterly basis.

· Compiles other reports and data for management review.

· Ensures that all reports of injuries and untoward incidents for staff and individuals are reported appropriately.

· Ensures that appropriate training and documentation of training for individuals and staff is up to date and meets standards for reimbursement as well as program guidelines.

· Ensures that all billing information for the program is completed and submitted to accounting in a timely manner.

· View Foothold records on a daily basis to ensure that individuals’ goals are recorded.

· The Assistant Residence Manager is responsible for the supporting the Residence Manager in monitoring and reviewing all documentation in accordance with federal, state, local, and organization regulations and policies, and ensuring all documentation is done in a timely manner.

 

COMMUNICATION

In partnership with the Residence Manager:

· Communicate effectively with individuals , using their primary method of communication (gestures, verbal, sign-language, communication board)

· Establish positive relations with parents, guardians, advocates of the people we support and outside providers.

· Assists staff and individuals in developing daily activities which are of interest to the person.

· Provides counseling and support to staff when conflicts arise; facilitates teamwork and positive interactions.

· Gathers staff opinions and input regarding work issues and empowers staff to make decisions through monthly mission effectiveness meetings.

· Provides ongoing feedback for the director and other executive staff.

OTHER

· On call for emergencies and reports as indicated by program guidelines.

· Provides a safe work environment for staff and individuals.

· Other related duties as assigned by supervisor.

· Attends in-service training and participates in continuing education to develop management skills; implements and demonstrates skills learned to build staff skillsets.

· The Assistant Residence Manager is responsible for supporting the Residence Manager in leading the team. In the absence of the Residence Manager, she/he ensures each shift is handled efficiently, all work is completed on time and quality services are provided at all times.

Competencies

· The Assistant Residence Manager will demonstrate excellence in providing culturally appropriate supports to individuals and staff using a person-centered approach.

· The Assistant Residence Manager will work with the team to develop staff action plans that promote the health, safety and wellbeing of all the people supported.

· The Assistant Residence Manager will support the Direct support staff and person supported in exploring educational, employment, volunteer opportunities that will assist the people we support in order to live active lives as independently as possible.

· The Assistant Residence Manager will enhance professional relations among team members and their capacity to work effectively with others toward a common goal. The Assistant manager will work on recruiting, interviewing, and selecting new staff.

· The Assistant Residence Manager will lead competency-based direct support staff training and professional development activities including coaching and mentoring. The assistant manager will participate in performance evaluations, and will be responsible for staff supervision, including scheduling and maintaining training records.

Supervisory Responsibility

The Assistant Residence Manager participates in the interviewing, hiring, coaching, and on-going feedback of staff. She/he is responsible along with the Residence Manager for assigning and directing work, addressing complaints, and resolving problems.

 

Work Environment

Able to tolerate and work in a busy and stimulating environment. Able to encourage a positive attitude toward individuals’ capabilities and limitations due to his/her disabilities. Presents self in a professional manner as a representative of Rising Ground at all times, especially when supporting the individuals out in the community. Must be able to transport the people supported in a minivan.

 

Physical Demands

Able to demonstrate skills and support individuals with disabilities; able to assist an individual physically when needed; able to lift and/or assist a person in an emergency.

Position Type/Expected Hours of Work

Must be able to travel to the different program sites.

May be required to work several evenings per month.

May be required to work extra time to complete work.

Qualifications

Required Education and Experience

2 years’ experience working in a similar environment.

Knowledge of Intellectual/Developmental Disabilities

 

Preferred Education and Experience

Degree in Human Services preferred or related field.

2 years’ experience working in a similar environment.

Additional Eligibility Qualifications

AMAP and First Aid/CPR/AED certification a plus

Must have a clean NYS Driver’s License

Skilled with Microsoft Office Suite, especially MS Word and MS Outlook
